Everything PodOps does
The whole operation — guests, production, publishing, growth.
PodOps replaces the spreadsheet-and-a-dozen-tabs sprawl with one hub. Everything below is shipped and in daily use — from a first outreach email to an episode live on Apple and Spotify.
Everything the work actually needs
Run your whole podcast operation in one place.
Guests & CRM
Book better guests and never lose a thread — a real CRM built for the way shows actually run.
Full guest CRM
Phones, addresses, notes, social links, headshots, and per-guest email history — with search and an A–Z last-name rail.
Auditable change history
Every create, edit, archive, and headshot change is logged with who did it and a field-level diff.
Outreach pipeline
A drag-through Kanban moves prospects through stages, with a built-in email-a-guest outreach flow.
Wishlist to booking
Keep a dream-guest and episode-idea wishlist and promote entries straight into the booking pipeline.
Automation & email
The follow-ups, reminders, and confirmations that used to live in your head — now they just happen.
Lifecycle guest emails
Booking confirmations and team notices fire automatically when a guest is booked, with a reminder sweep before recording day.
Read receipts
See Sent / Failed / Opened status on every lifecycle email, right on the episode page.
Configurable send timing
Set date-relative timing in plain days — e.g. an editing reminder seven days after recording — in the template editor.
Editing reminders
Producers get automatic nudges to finish post-production, with an amber calendar chip so nothing stalls.
Double opt-in newsletter
Confirmed-subscriber lists per podcast, with unsubscribe and full send history.
Editable templates with live preview
Rewrite any email in a template editor with a live preview iframe and per-workspace overrides.
Content Hub & repurposing
Upload one master recording and turn it into transcripts, clips, audiograms, and drafts — grounded in what was actually said.
Source-media library
Upload a master recording once; PodOps keeps it in a cloud media library and repurposes it into clips, audiograms, and drafts.
Automatic transcription
Episode audio is transcribed on upload, producing full text plus timestamped segments.
AI-selected short clips
PodOps scans the transcript for the strongest moments and cuts them into real short-form video clips — source, square, and 9:16 vertical — with optional transcript-grounded captions.
Audiograms
Generate real waveform audiograms in square, vertical, and landscape with burned-in captions and custom fonts.
AI show notes, blog & social drafts
Draft show notes, a blog post, and social copy from the transcript, and keep a block-based run sheet updated against your live episode data.
Transcript knowledge index
Search, ask questions, and pull quotes across every episode transcript at once.
Analytics
Know what your show is really doing — measured to the standard the industry trusts.
IAB 2.0 download analytics
Every stream is logged and de-duplicated to the IAB 2.0 standard, with overview, per-podcast, and per-episode dashboards.
Cross-platform insights
A unified read-only view of how episodes perform across the places you publish, with recommendations.
Team & multi-account
Run one show or a hundred. Manager mode turns PodOps into a true multi-tenant operation for networks and agencies.
Real multi-tenant isolation
Each account is isolated at the database level with row-level security — verified with two-tenant leak tests, not just app-layer filtering.
One-step provisioning
Spin up a new account and its first admin in a single step.
Per-podcast roles
Admin, Producer, Host, Publicist, and Viewer roles — hosts and producers see only the shows they are on.
Team logins in one place
A person’s assigned podcasts drive exactly what their login can see; manage it all from one editor.
Per-account AI keys
Every tenant brings its own LLM endpoint, model, and key — strictly isolated, never shared across accounts.
AI production tools
A catalog of AI tools that draft, research, and organize — honest by design: they never fake a posted or sent state.
AI production agent
Create, schedule, transition, and publish episodes, update run sheets, and draft show notes from live data.
Guest research
Consent-gated, source-grounded guest bios and social discovery — grounded in real sources, never fabricated.
Sponsorship & campaigns
Rate cards built from your real numbers, a sponsor CRM, per-episode deals, and campaign tracking with contracts and run dates.
Distribution & integrations
Publish once. Everywhere your audience listens.
There’s no pile of API keys to juggle. PodOps builds one standards-compliant podcast feed; you submit it once, and every new episode flows out to the whole ecosystem automatically.
One feed, every app
PodOps generates a valid podcast RSS feed for your show. Submit that single URL to each directory once — new episodes publish from the feed automatically after that.
Feed health, checked
A built-in validator rebuilds and checks your feed for validity, size, and item count, so a malformed feed never quietly breaks your show.
A distribution dashboard
Track where you’re live across Apple Podcasts, Spotify, and more — status, link, and show ID for every platform in one view.
Connect, don’t configure
Bring the tools you already use. Connect an account and PodOps handles the rest — and it tells you honestly when something still needs setup instead of pretending it worked.
Apple Podcasts, Spotify & YouTube Music
Guided setupSubmit your PodOps RSS feed once through each directory’s portal — guided setup, with a per-platform status tracker so you always know where you’re live.
Riverside
SupportedAdd a Riverside key to import your finished recordings straight into episodes.
Bring recordings from your studio tool
SupportedUpload a finished recording or paste a direct link from StreamYard or any studio tool and turn it into an episode.
YouTube publishing
Coming soonOne-click channel connect with auto-filled metadata, thumbnails, and captions is in active development — coming soon.
Calendar mesh
LiveRecording and release dates sync in near-real-time, with double-booking warnings so you never overbook a studio or a guest.
Apple Podcasts and Spotify don’t offer an open publishing API — no host can auto-submit on your behalf. PodOps uses the universal model instead: one RSS feed you submit once, with guided setup and per-platform status tracking. Some connectors require you to connect an external account before they’re active.
Media hosting
Host it with us, or just point to where it already lives.
Every plan handles audio two ways, and you choose per show. Storage only counts when you host the audio with us.
Tracked — $0 storage
Reference the show’s YouTube or an external URL. PodOps keeps the metadata, analytics, and operations while the media stays where it already is — so it uses none of your storage. This is the default.
Hosted — we serve your audio
We store your audio in the cloud and own the podcast RSS enclosure, so your feed publishes straight through to Apple Podcasts and Spotify. Hosted media counts toward your storage allotment.
Included storage — add a block when you need more.
Single includes 10 GB. Agency includes a 100 GB pool shared across every show. Add more any time in round blocks — a flat recurring price, not per-GB metering.
Reach your limit and we simply warn you and pause new uploads until you add a block — nothing is auto-charged, and your existing media keeps serving. Agency plans can bring their own storage bucket for unlimited hosting on their own cloud. Self-serve storage-block checkout is rolling out — the block prices above are what we publish, not a claim that one-click storage upgrades are switched on for your workspace today.
AI included
AI preps every episode — bios, runbook, transcription, clips, and posts.
AI is included in every plan — no separate subscription. Each month covers 4 episodes with up to 3 guests each. For every one of those episodes, PodOps prepares the guest bios, a host runbook, the transcription, short-form clips, and drafted posts — ready before you publish.
Included in every plan
Both Single and Agency include AI for 4 episodes a month, with up to 3 guests per episode — nothing extra to buy.
A full workup per episode
Source-grounded bios for up to 3 guests, a host runbook, transcription, AI-selected clips, and drafted show notes, blog, and social copy.
Extra guests when you need them
Featuring a bigger panel? Add guest credits — $1 each, prepaid, and they never expire.
Extra guest credits
Beyond the 3 guests per episode included in your plan, add prepaid guest credits — $1 each, and they never expire, so they stay on your account until you use them.
Every plan includes AI for 4 episodes a month today. Self-serve guest-credit checkout is rolling out — the credit prices above are what we publish, not a claim that one-click credit purchase is switched on for your workspace yet.
